JOB DESCRIPTION

POSITION: Assistant Administrator

DEPARTMENT: Administration

REPORTS TO: Practice Administrator & Physician Owner

JOB SUMMARY: This individual is responsible for assisting the practice administrator in the smooth functioning of all aspects of operations, finances, human resources, and statistics and for providing oversight of accounts receivable functions.

EDUCATION AND EXPERIENCE:

1. B.A. in Business Administration or other Medical Administration degrees.

2. Three years experience in medical office management, or five years of relevant experience.

ESSENTIAL SKILLS AND ABILITIES:
1. Excellent communication skills, proper grammar, and letter writing ability.

2. Human resource development and management skills.

3. Computer literate (i.e., accounting software, spreadsheets).

4. Competency in problem solving and decision-making.

5. Ability to delegate and supervise successfully.

6. Management of multiple projects simultaneously.

7. Strong organizational skills with attention to detail.

8. Ability to work as a team player.

RESPONSIBILITIES:

1. Administration

  • Assists practice administrator with smooth flow of all aspects of practice operations.
  • Participates in all management team meetings.
  • Maintains current knowledge of all insurance policies and contracts.
  • Assists with human resource issues and employee benefits; monitors employee vacation and sick time, and other H/R duties assigned by practice administrator.

2. Billing and Accounts Receivable Operations

  • Oversees and supervises billing and accounts receivable operations.
  • Maintains thorough and up-to-date knowledge of CPT and ICD-9 coding issues.
  • Reviews fee sheets and surgery charges for accuracy, on a daily basis.
  • Reviews patient and insurance accounts for overpayment; processes necessary refunds.
  • Monitors all accounts receivable activity; meets with staff daily and weekly to review status of accounts and necessary follow-up action.
  • Communicates on a regular basis with the practice administrator regarding current status of accounts receivable.
  • Manage insurance passwords for staff.

3. Computer System

  • Monitors computer system and completes any updates as they are provided.
  • Generates necessary reports.

4. Miscellaneous

  • Assists front office personnel and fills-in for vacation, as needed.
  • Assist in training front office personnel.
  • Performs other duties as required.

Job Type: Full-time

Pay: $18.00 - $23.00 per hour
