POSITION RESPONSIBILITIES

  • Greets and promptly assists employees, vendors and visitors who request assistance at the reception desk with a positive and helpful attitude.
  • Answers the main phone line and actively responds to all inquiries (including transferring calls, taking messages, relaying information to other departments.)
  • Responsible for maintaining the physical appearance and organization of the reception desk and all common areas, including the lobby, conference rooms, and break areas.
  • Point of contact for all employee identification badge issuance and troubleshooting. Utilizes electronic systems such as Pro-Watch, Kronos and Excel to maintain tracking and compliance of badges.
  • Maintains office supply inventory for the facility by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Coordinates repairs to office equipment and building maintenance by acting as a liaison between Maintenance and the requesting employee/department.
  • Receives, sorts, and distributes mail and deliveries.
  • Utilizes electronic systems such as Microsoft Outlook, Excel, TEAM’s to schedule, track attendance, and communicate with participants for scheduled meetings and trainings such as orientation, leadership development, employee retention and employee development.
  • Assists employees with navigating Microsoft Outlook and Workday platform to complete I-9’s, Direct Deposit, Benefits, etc. Liaisons between employees, the HR team, and the HR Shared Services in regard to employee computer credentials and computer access.
  • Generates and prepares reports using Workday and Excel.
  • Supports the Employee Boat Club program by responding to employee inquiries, providing information, collecting documentation and partnering with Boat Captains for rental.
  • Scans physical documents to electronic employee files using Workday.
  • Liaisons between the facility and all food vendors (concessions, food trucks, etc.)
  • Provides support for Service Awards Ceremonies, Job Fairs, and Gift Distributions (pre-preparation, communication, during ceremony, and post-follow up)
  • Schedules and coordinates facility tours.
  • Performs additional administrative duties as required.

EXPERIENCE/SKILLS AND OTHER REQUIREMENTS

  • Experience with PC based software (Microsoft Outlook (Word, Excel, PowerPoint)
  • Demonstrate problem solving and decision-making abilities
  • Previous Receptionist and Administrative Assistant experience preferred.
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Able to handle data with confidentiality
  • Bi-lingual (English and Spanish) preferred

EDUCATION/TRAINING

  • Must have a High School Diploma or equivalent
  • Previous Receptionist and Administrative Assistant experience preferred.
  • AS Degree / college level course work preferred

While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts; high, precarious places; fumes or airborne particles; and toxic or caustic chemicals. The noise level in the work environment is usually moderate.
