RWS Entertainment Group is currently seeking an Accounts Payable Specialist to support finance-related needs across all RWS subsidiaries (RWS Entertainment Group, ted, JRA, and Binder Casting). This role is responsible for overseeing the full vendor payment cycle to ensure that payments for approved goods and services acquired are processed in a timely and accurate manner and in accordance with company policies.

Role & Responsibilities

  • Execute the full-cycle A/P process, which includes capture and review of vendor invoices for proper approvals, accuracy, and proper account coding; data entry and processing of invoices via the company’s AP automation system (currently Bill.com) including weekly and off-cycle payment runs. Maintain paid and unpaid invoice data and reporting to ensure accurate files and records in RWS’ NetSuite ERP system
  • Maintain and update vendor profiles, including key payment terms, contracts, and payment schedules for recurring contract payments. Perform new vendor additions based on proper approvals and receipt of all required documentation (W-9s, EFT payment instructions, etc.) in accordance with company policies
  • Maintain strong customer relationships by responding timely to all internal and external parties and resolve any inquiries or payment issues in a timely manner. Communicate proactively and professionally to all stakeholders.
  • Reconcile company credit card expenses monthly via the internal expense reporting system and ensure timely and accurate posting of transactions to the GL
  • Proactively challenge existing processes and identify where further efficiencies are needed, and assist with execution of process and system improvement projects
  • Responsible for annual vendor 1099 processing and filings
  • Assist with periodic GL account reconciliations and other duties as assigned to support the Accounting Department

Qualifications

  • Associates or bachelor's degree in accounting preferred
  • At least two years of AP experience preferred
  • Excellent verbal and written communication skills
  • Knowledge of basic accounting principles
  • Strong attention to detail with a dedication to accuracy and timeliness
  • Analytical with strong excel skills
  • Able to recognize where process bottlenecks are, and able to implement positive changes
  • Experience with accounting software such as NetSuite, as well as AP and expense reporting automation applications such as Bill.com, Concur, or Expensify
  • Ability to work independently and in a fast-paced environment
  • Self-motivated with a great work ethic and a customer service mentality, eager to learn and grow with the company into more challenging responsibilities over time


A valid passport for the duration of employment for all travel-related roles. Proof of vaccination against COVID-19 (or proof of exemption) will be required.

Status: Hybrid on the East Coast

  • Hybrid (in NY/NJ/CT Metro Area): Team members who are pre-approved to regularly perform their job responsibilities remotely up to two (2) days per week, with three (3) days per week operating out of the RWS New York City headquarters.

Salary: $60,000 annually
