Job Summary

Primary responsibilities include analyzing and processing the monthly Accounts Payable Financial Review Package, reviewing, and analyzing the blocked report and distributing the report to Procurement and Receiving to resolve blocked invoice issues and unblocked documents as needed, review Parked report, and ensure invoices are approved in a timely manner, PO invoice reversals, invoice entry as needed, opening mail and monitoring invoice and inquiry e-mail mailboxes, and answering calls. This position works closely with vendors, the procurement department, MDG – Vendor Master Group, Tax department, business managers, approvers, and the Center of Excellence (COE) to troubleshoot and resolve any invoice or SAP-related system issues. In addition, this role is responsible to act as support in other areas as needed within AP.

The AP Administrator role reports to the Accounts Payable Manager as a part of the Accounts Payable Team. There are no direct reports reporting to this role.

Key Responsibilities

  • Prepare month end AP Template, DPO, GRIR and Account Analysis
  • Partner with business owners and Procurement to ensure invoices are processed timely
  • Respond to vendor inquires and requests
  • Work with Business Intelligence team to create reports as needed
  • Create, review, and distribute the blocked invoice report
  • Create and analyze the parked document report as needed
  • Review workflow rejection notices and resolving any outstanding issues
  • Request cost center adjustments for workflow tables
  • Update Base with policy and procedure updates as needed
  • Drive process improvements
  • Back up to create and validate Concur quarterly feed to Ariba and reporting
  • Report technical issues to IT and follow up to ensure a timely resolution
  • Act as the lead and Super User for the AP Invoice Process
  • Enter invoices and reverse documents as needed
  • Member of the Procurement Council Team
  • Participate in special projects as needed

Required Skills

  • Associates degree or equivalent experience, bachelor's degree preferred
  • 1-3 years' experience working in Accounts Payable – SAP and OnBase Preferred
  • AP Certification a plus
  • Proficient in Microsoft Office such as Excel, Word and Outlook
  • Strong verbal and written communication skills required
  • The ability to consistently meet all deadlines
  • Excellent attention to details
  • Overtime/weekend work required as needed
