Fleur de Lis Camp is an independent, not-for-profit, residential camp for girls ages 8-15. Fleur de Lis is located on Laurel
Lake in Fitzwilliam, NH, part of the Monadnock region. Fleur de Lis offers a traditional residential camp program for girls who attend 2-7 week sessions, serving approximately 100 girls per session. The camp has been in operation since 1929.

Fleur de Lis’ program is conducted in a natural environment, both safe and nurturing, with the intention of fostering leadership skills, citizenship, and self-confidence, while helping each girl reach her full potential. The girls and young women of Fleur de Lis are developed in a spirit of cooperation and respect with a focus on friendship, mentoring, positive example, and challenges appropriate to the individual girl.

Job Title: Accounting and Administrative Assistant

Position Purpose: To assist the Executive Director and Fleur de Lis team with accounting, administrative and office tasks.

Supervisor: Executive Director

Classification: Non-Exempt, Part Time Works primarily from home. Required to be on-site at Fleur de Lis for weekly staff meetings and administrative tasks as needed.

Major Duties and Job Responsibilities

1. Manage camp finances and general accounting services. This includes, but it is not limited to: a. Processing A/R, A/P,,, petty cash & receipts, invoicing b. Banking: deposits, wire transfers, on-line credit card payments, Venmo, PayPal, account and credit card reconciliations, fund transfers etc. c. Monthly financial reporting & analysis

2. Manage invoicing/receipts and record keeping for all programs within Fleur de Lis’ accounting software (currently
Quickbooks).

3. Manage donation accounting and record keeping including but not limited to credit card, check, Venmo, PayPal, gifts in kind

4. Manage payroll functions & federal and state tax payments.
5. Prepare documents/reports for audits (Worker’s Compensation) and required filings (W-2s, 1099)
6. Assist with coordinating administrative preparations for the summer season (and as needed during the off- season) including, but not limited to adding phone & internet services, changing dumpster collection schedule etc.
7. Support communications occasionally through proofreading. Projects include, but are not limited to confirmation packet, fund development letters, annual camp calendar, annual report, etc.
8. Supports Fleur de Lis Corporation and Board of Directors through maintaining electronic records.
9. Manages all financial, historical and general company information working to enhance the electronic (scanned) database of Fleur de Lis documents.
10. Manage seasonal staff paperwork and personnel files; complete State of New Hampshire New Hire Reports.
11. Oversees summer petty cash.

12. Assists in preparing/providing documents for the preparation of annual financial statements review/audit and Fleur de Lis’ Form 990 tax filing.

Other Duties and Job Responsibilities
1. Assists with managing internal procedures to ensure that required paperwork is being completed/updated/maintained, hiring documents (W-4s, I-9s), W-9s from vendors etc.
2. Communicates regularly with the Executive Director. Supports and takes on projects as needed.
3. Works/meets on-site or other location weekly as needed throughout the year. Occasional weekend work is required during the summer season.
4. Works as part of a year-round administrative team.
5. Completes other duties as assigned.

Qualifications

1. An associate degree or higher preferred in business/accounting/finance; a minimum of 2 years of accounting/finance experience, non-profit experience preferred

2. Strong experience and knowledge in Microsoft Office (specifically Word & Excel), Quick Books (QB on-line experience preferred)

3. Must be able to pass a background and credit check.
